WP2 — Project management -2 (Lead: UL)
Goals & Objectives
- Ensure effective project coordination, financial oversight, and communication among partners.
- Maintain compliance with the Consortium Agreement and oversee progress and budget management.
- Guarantee quality and security standards are upheld throughout the project lifecycle.
Tasks
- Task 2.1 Administrative and financial management (UL(L), All partners; M19-36) This task involves ensuring compliance with the terms and conditions outlined in the Grant and Consortium Agreements. The Project Coordinator is responsible for managing and facilitating communication between project partners, EC officials, and external stakeholders. Project Management Board (PMB) with one representative from each partner will be established to control the progress and resolve adversaries in the way that the project progress will not be hindered. Legal experts will be consulted if needed. The Coordinator will organize meetings for the PMB and inter- and intra-Work Package (WP) technical meetings. On the financial side, the Coordinator oversees the management of funds, ensuring that income, expenditures, and disbursements are transparent, accurate, and well-documented. The Coordinator is also tasked with compiling and drafting progress reports, monitoring project timelines, and ensuring that all activities remain within budget. Periodic reports are prepared to provide updates on the project’s progress, financial status, and compliance with the agreed timelines. The Coordinator is assisted in his tasks by all Consortium Partners.
- Task 2.2: Technical management (UL (L) FHG, CLR, all border guards, PPHS; M19-36 ) Technical management ensures that the project and its WPs remain aligned with objectives and timelines while effectively responding to unforeseen challenges. It oversees and monitors ongoing activities, conducting risk assessments and developing contingency plans to address any issues that arise, while implementing corrective measures as necessary.
- Task 2.3: Quality and Security management (UL (L), THALES, FHG; M19-M36) This task ensures that all project deliverables consistently meet established quality and security standards. It includes developing a thorough verification plan that encompasses quality inspections, security audits, & compliance checks throughout the project lifecycle. Regular evaluations are conducted to confirm adherence to the Quality Assurance Plan & compliance with industry security standards. Any identified discrepancies or vulnerabilities are promptly addressed through corrective measures to maintain compliance & minimize risks. The process also involves detailed documentation of findings, implementing necessary improvements, & maintaining comprehensive records to ensure transparency & support future audits. Three members of the Project Management Board will be selected to perform Quality & Security Control. SAB will be established.
